Sharing

Sharing is one set of rules for getting a record out of the system — printing, emailing, downloading, linking, chatting or WhatsApping it. Every module uses it, which is why the rules are in one place.

Before you start

  • A decision, per role, about which routes out are allowed. This is the most consequential permission set in the suite.

What Sharing does

Print, email or download a record

Three routes out, three permissions. Most roles need one of them and are given all three by accident.

Create a shareable link

A link is reachable by whoever holds it. Issue links when the recipient has no account and revoke them when they no longer need one.

Share in chat or send on WhatsApp

Internal and external routes, deliberately distinguished — the second takes a record outside the business.

Copy record details

Even copying is its own permission, because a copied record is an uncontrolled one.

Remember that view never implies send

This is the principle the whole module exists to enforce: being allowed to look at something has never been the same as being allowed to send it to somebody else.
